Adjusting Hours for Invoicing Without Changing Time Tracking

Do you want to adjust the recorded project hours for progress and invoicing? This is now easily possible with project or client access. We introduce the new option here and at the end, we compare it with the previous options.


The option is available for all projects—whether billed by effort or flat rate. Adjusting the billable hours affects the project's timesheet and progress—as well as the employee's billability. For a time entry, there is a value for recorded hours and one for billable hours.

Overwriting Hours

The billable hours can be adjusted in the project and client area. If at least one time entry is adjusted, MOCO indicates this with a purple number including tooltip info. This applies to both the total and individual entries.

In the Timesheet

The adjustment can be made by double-clicking or "Edit" in the timesheet for the project, project group, client—or in the global timesheet (Projects > Timesheet).

In the timesheets (including Excel format), the adjusted billable hours are displayed.

Directly at the Billable Positions

For invoicing by effort, billable hours are offered for invoicing. When accessing the billable positions (via the project list, the project, the project group, or the client), you can also adjust the hours. 

This adjustment can also be made directly during the invoice creation step:

Billability Adjusts

For calculating billability, the billable hours are compared to the target. The person's billability changes with the adjustment of billable hours. For example, a lower number of billable hours can be set for interns, while the target-actual remains unchanged.

Impact on Project and Client Report

  • The external view adjusts.
    Progress in performance or budget and thus also remaining hours. 
  • The internal view remains.
    Personnel costs for profitability calculation continue to be calculated based on the actual recorded hours and the internal hourly rates.

The Creator of the Time Entry is Not Affected

  • The timesheet for the person does not change.
    The actual recorded time counts.
  • The target-actual does not change.
    The calculation is based on the effectively recorded hours.
  • The entry is locked. 
    After overwriting the hours, the person concerned can no longer edit the time entry (reversible).
  • Nothing changes for the creator except the lock.
    A person without access rights to projects, clients, or reports does not see which hours were adjusted and how. 

Note on the Overall Reports

  • In the overall time tracking report (Reports > Time Tracking > Overview), the billable hours are decisive. If there is a difference, the tooltip also informatively displays the actual recorded hours, including amounts in account currency.
  • In the export under "Reports > Personnel > Target-Actual & Billability", the total recorded hours (reference for target-actual) and the (changed) billable hours (reference for billability) are included as columns.

With the previous "Splitting" option, a time entry can be split—for example, into a billable and a non-billable part.

As before, the hours can also be adjusted on the invoice—the automatically generated timesheet for invoicing by effort does not adjust.
